The services and resources of the Old Dominion University (ODU) Libraries support the academic, research, and learning experiences of the University community in an atmosphere conducive to study, reflection and collaboration. The University Libraries provide space for, and welcome members of the ODU Community to collaborate with us on, displays and exhibits that disseminate the results of ODU teaching, research, scholarship, and artistic and creative activity.
Currently, available spaces for displays and exhibits include the Library Gallery and the Learning Commons poster wall, both located in Perry Library. Requests to post announcements on the television monitors in the Learning Commons are covered in a separate Digital Signage Guideline. Display cases near the entrance to Perry Library are reserved for Libraries’ services and programs. Exhibit space is subject to availability and is generally reserved for use by University Libraries and University departments and organizations.
Procedures
To reserve space, users submit the online Student Exhibit Space Request Form. Students or student groups must include the name and contact information of a faculty sponsor on the request form.
The Department of Libraries’ Engagement will review and approve the form, with further review by the Dean of Libraries and/or Libraries Management Team if appropriate, using the criteria below.
For successful applications, the Libraries will confirm the display/exhibit schedule, including the delivery date, exhibition dates, and any restrictions or requirements, in writing. The Department of Libraries’ Engagement may also work with the exhibitor on publicity for the display, if resources allow. All displays and exhibits are subject to the Terms and Conditions below.
Artists are encouraged to provide the Libraries with a sample of their work (8 1/2” x 11” or less or in digital format) and a biography and/or philosophical statement on the exhibit, which may be posted to the Libraries’ Web site while the exhibit is on display.
Display and Exhibit Criteria
The Libraries retain the right to determine the suitability of any proposed display or exhibit. If appropriate, the Libraries may add a disclaimer to the display/exhibit that views and opinions expressed are not those of the Libraries but of the exhibitor.
Installation & Removal
The exhibitor is responsible for installing the exhibit on a schedule approved by the Libraries. The Libraries will provide hangers for the Gallery’s railing system and has a small selection of easels and pedestals that may be reserved upon request. The Libraries are generally unable to provide other display materials.
No nails, single-sided or double-sided tape, fixatives or other adhesives may be used on the walls or columns. No nails, hooks, anchors, or other suspension devices may be embedded in the walls or columns. Artwork titles/descriptions may be attached directly to the artwork frames. The exhibitor will be held financially responsible for any damage that occurs.
Because of limited storage space, the exhibitor must remove artwork and other materials within two days of the closing of the exhibit.
Terms and Conditions
All items placed in the Libraries are done so at the owner's risk. The exhibitor assumes full responsibility for loss or damage to art works or other artifacts being exhibited or displayed in the Libraries. The Libraries are not responsible for loss, theft or damage to any items being exhibited or displayed and cannot be responsible for reimbursement or replacement of any items. The Libraries do not insure any exhibits and encourages the exhibitor to obtain a rider on their own insurance policy for the duration of the exhibit. The Libraries do not engage in the sale of creative works or in referral for sales.
